Role Mission
Provide direct administrative and organizational support to the CEO and management team, ensuring that basic office infrastructure, communication tools, and administrative processes are efficiently established and maintained.
Core Responsibilities
1. Immediate Priorities (0–6 months)
- Coordinate procurement of phones, laptops, and IT equipment for management and key staff.
- Establish contracts with mobile and internet providers.
- Support CEO with travel bookings, scheduling, and daily administrative needs.
- Set up basic office infrastructure (supplies, meeting rooms, visitor access).
2. Ongoing Administrative Support
- Manage CEO’s calendar, coordinate internal/external meetings.
- Draft and handle correspondence, presentations, and reports.
- Arrange logistics for visitors, delegations, and internal events.
- Track expenses and support invoice management with Finance.
3. Cross-team Coordination
- Serve as the go-to person for administrative requests from managers.
- Ensure smooth communication between office functions and production support teams.
- Support onboarding of new employees (workstation setup, access cards, IT requests).
Candidate Requirements
- Education: Commercial/administrative education.
- Experience:
- 2+ years in administrative assistant, executive assistant, or office coordinator roles.
- Proven experience handling procurement or vendor contracts (telecom, IT, office supplies).
- Skills:
- Strong organizational skills, ability to juggle multiple priorities.
- Proficiency in MS Office/Google Workspace; ERP/HRIS exposure is a plus.
- Excellent communication skills in English (B2–C1). Danish — (B2–C1 is mandatory).
- High reliability, discretion, and service mindset.
Key Results (First 12 Months)
- Phones, laptops, and IT infrastructure fully implemented and running.
- Contracts with telecom/IT providers signed and monitored.
- CEO’s office administration handled smoothly and without delays.
- Positive feedback from managers (>85% satisfaction) on administrative support.
- At least 3 efficiency improvements in office routines (e.g., faster travel booking, automated expense reporting).
